Job Summary:
We are seeking a highly organized and customer-focused Administrative Assistant to support our busy pool service company. This role involves managing office operations, scheduling, customer service, and assisting with day-to-day administrative tasks to keep our business running smoothly.
Key Responsibilities:
- Customer Service & Communication:
- Answer incoming calls and respond to customer emails.
- Schedule service appointments and manage technician calendars.
- Provide accurate information about services, pricing, and scheduling.
- Administrative Support:
- Maintain customer records and service history in company software.
- Process invoices, payments, and maintain billing records.
- Order and track inventory and supplies for service crews.
- Scheduling & Dispatching:
- Coordinate daily/weekly schedules for technicians based on service needs.
- Communicate schedule changes or urgent requests in real-time.
- Data Entry & Recordkeeping:
- Update service logs, equipment records, and client files.
- Assist with preparation of reports and internal documentation.
- General Office Management:
- Keep the office organized and running efficiently
Qualifications:
- Prior experience in an administrative or customer service role (experience in a service-based or field service company a plus).
- Strong computer skills (e.g., Microsoft Office, QuickBooks, scheduling software).
- Excellent organizational and communication skills.
- Ability to multi-task in a fast-paced environment.
- Familiarity with pool service terminology is a plus, but not required.
