Job Summary:

We are seeking a highly organized and customer-focused Administrative Assistant to support our busy pool service company. This role involves managing office operations, scheduling, customer service, and assisting with day-to-day administrative tasks to keep our business running smoothly.

Key Responsibilities:

  • Customer Service & Communication:
  • Answer incoming calls and respond to customer emails.
  • Schedule service appointments and manage technician calendars.
  • Provide accurate information about services, pricing, and scheduling.
  • Administrative Support:
  • Maintain customer records and service history in company software.
  • Process invoices, payments, and maintain billing records.
  • Order and track inventory and supplies for service crews.
  • Scheduling & Dispatching:
  • Coordinate daily/weekly schedules for technicians based on service needs.
  • Communicate schedule changes or urgent requests in real-time.
  • Data Entry & Recordkeeping:
  • Update service logs, equipment records, and client files.
  • Assist with preparation of reports and internal documentation.
  • General Office Management:
  • Keep the office organized and running efficiently

Qualifications:

  • Prior experience in an administrative or customer service role (experience in a service-based or field service company a plus).
  • Strong computer skills (e.g., Microsoft Office, QuickBooks, scheduling software).
  • Excellent organizational and communication skills.
  • Ability to multi-task in a fast-paced environment.
  • Familiarity with pool service terminology is a plus, but not required.
